Do you keep the inspection videos forever?
How long your inspection videos are stored depends on your plan. Independent and Starter customers retain video for one full tenancy cycle. Professional customers retain across two cycles. Enterprise can customize. Your signed PDF report is always stored permanently regardless of plan.
Retention is tied to your plan
ConditionIt stores inspection video for as long as your plan supports. Independent and Starter plans retain video for one tenancy cycle — the duration of the tenancy plus a 90-day grace period after it ends. That covers the window where disputes are most likely to arise and gives you the evidence you need if one does. Professional plans extend that to two full tenancy cycles, so back-to-back tenancies on the same property are both covered. Enterprise plans retain video indefinitely with no automatic deletion.
What counts as one tenancy cycle?
A tenancy cycle runs from the entry inspection through to 90 days after the exit inspection is completed and the bond is resolved. Once that window closes, the raw video files are automatically deleted from our servers. The final signed PDF condition report — including all extracted frames — is kept permanently on every plan. You always have a legally admissible record of the property's condition; you just won't have the raw footage beyond your plan's retention window.
Why not keep everything forever?
Holding raw video of someone's home indefinitely creates real privacy and compliance obligations, particularly under GDPR and similar legislation. Keeping video longer than necessary exposes your agency to risk if that data were ever compromised. Our retention policy is designed so you hold exactly as much evidence as you're likely to need, and no more. If you manage high-value or commercial properties where longer retention is important, Professional or Enterprise plans give you that coverage.
Upgrading your retention window
If you're on Independent or Starter and want two-cycle retention, upgrading to Professional is the straightforward path. For custom retention requirements — multi-year commercial leases, insurance mandates, or portfolio-wide archiving — get in touch and we'll set up an Enterprise arrangement that fits your obligations.
